Job description

Job Overview:

The Admin & Logistic Officer is responsible for overseeing the logistical and administrative functions of the project in line with the Youth Bridge Policies. This role involves managing procurement, transportation, inventory, office administration, and ensuring that all operations comply with organizational policies and procedures. The officer will support the smooth running of the Youth Bridge organization’s activities and contribute to achieving project goals.

Key Responsibilities:

1. Logistics Management:

o Plan and coordinate logistics operations, including transportation of goods and personnel.

o Ensure timely and efficient delivery of materials and supplies to project sites.

o Oversee vehicle management, including scheduling, maintenance, and fuel consumption tracking.

o Develop and maintain logistics tracking systems and records.

2. Procurement:

o Manage procurement processes in accordance with organizational policies and donor requirements.

o Prepare procurement plans, source suppliers, obtain quotations, and conduct market assessments.

o Negotiate contracts and agreements with suppliers and service providers.

o Ensure the quality and timely delivery of procured goods and services.

3. Inventory and Asset Management:

o Maintain accurate records of inventory, assets, and equipment.

o Conduct regular physical inventory checks and audits to ensure accountability.

o Manage the distribution and allocation of supplies and equipment to project sites.

o Ensure proper storage and security of inventory and assets.

4. Office Administration:

o Oversee office management tasks, including maintenance, utilities, and office supplies.

o Coordinate administrative support services

o Ensure the smooth operation of office facilities and equipment.

o Manage the organization’s documentation and filing system.

5. Compliance and Reporting:

o Ensure compliance with organizational policies, donor regulations, and local laws.

o Prepare and submit regular reports on logistics, procurement, and administration activities to the Operations Manager.

o Assist in the development and implementation of operational policies and procedures.

6. Team Coordination and Support:

o Supervise and support logistics and administrative staff, providing guidance and training as needed.

o Collaborate with project teams to ensure alignment of logistics and administrative support with project needs.

o Coordinate with other departments to facilitate integrated operational support.

7. Budget and Financial Management:

o Assist in the preparation and monitoring of budgets for logistics and administrative activities.

o Ensure cost-effective and efficient use of resources.

o Maintain accurate financial records related to logistics and procurement expenditures.

8. Risk Management:

o Identify potential risks and challenges in logistics and administrative operations and develop mitigation strategies.

o Ensure safety and security protocols are followed in all logistics activities.

Qualifications:

o Bachelor’s degree in supply chain management, business administration, or a related experience in the field.

o Strong organizational and time management skills.

o Excellent negotiation and communication skills.

o Proficiency in logistics software and Microsoft Office Suite.

o Knowledge of procurement processes and regulations.

o Ability to work independently and as part of a team.

o Strong problem-solving and decision-making abilities.

o Fluency in relevant languages (e.g., Arabic, Kurdish, and English is preffered) 

Working Conditions:

o Based at the Youth Bridge Organization office with occasional travel to project sites.

o May require working outside of regular office hours to meet deadlines or address urgent issues.
